Managing Your Clubs and Societies

Club & Societies Formation and Renewal

Forming a club and society is easy, if you know how to do it. However, it comes with requirements that you shall comply:

Gather Your Team

Recruit at least 4 Main Committee members for the club and at least 20 members including sub-committee members.

The Main Committee members shall consist of following:

  • President
  • Vice President
  • Treasurer
  • Secretary

Appoint a Club Advisor

Identify a club advisor who can be any staff of IMU from any department or school except staff of Student Services Department (SSH). This is to avoid any Conflict of Interest in future. Best is to have someone who is familiar with the club’s nature.

Prepare Your Documents
  • A detailed proposal, consisting planned activities for that particular year, as much as possible. This is to ensure you have planned and clear of your requirements.
  • Attach a proposed organization chart. We can surely discuss to make it better.

Meeting and Discussion with SSH

Make an appointment with ECA officer once the above documents and information are ready. We shall have a chat with the club’s president and advisor to further understand the aim and plans, and the club’s sustainability plan.

Get Officially Registered

Submit the IMUBJ: ECA Establishment, Renewal and Termination Application Form to begin the club registration process. The form can be accessed using the button at the end of this section. Once the application has been approved by SSH, Student Representative Club (SRC) will assist the club president to register a new email for the club.

Probation Period

To ensure the club’s committee has no issues in running the new club, SSH and SRC will closely follow up for the first 6 months (probation period). This monitoring will also help SSH to immediately render support should the club needs it.

Roles and Responsibilities

AdvisorClub Members
Provide guidance, direction, advice, and continuity to members on all matters pertaining to the club.Club members must notify the advisor of all meetings and events.
To support the club on their activities, acknowledge any achievements, solve issues, attend meetings and activities.Consult advisor in the planning of projects and year events.
Assist and oversee the club’s treasury and its related matter.Discuss concerns and issues pertaining your club with the advisor.
To discuss on club activities and provide necessary advice and approval.To understand that the role of the advisor is to guide, and the success of activities are members’ responsibility.
Acknowledge and appreciate the advisor’s time and energy invested into the club.
Share with advisor any concerns the club has, be transparent so best support can be put in place. Should there be a need, liaise with SSH for immediate support.

Termination and Abolishment of a Club

The SRC or SSH reserves the right to terminate the operations of a club should the club fail to comply with regulations of the University or law of Malaysia. All activities of the club must take into consideration of harmony and sensitivity of students and the general community. No activity should potentially bring threat to the university’s good name or anyone’s image.

Clubs may be terminated or suspended due to the following criteria:

  • Dormant for 6 months
  • Failure to organize at least 1 major and 2 minor event each year without a valid reason
  • Club’s representatives absent for TWO consecutive BOC meetings
  • Late submission of event reports and financial reports of more than TWO consecutive times
  • Clubs consisting of less than 20 members including subcommittee members
  • Failure to organize Annual General Meeting (AGM) to select the new committee

The president of a club, with consent from other committee members can choose to close his/her club.

When a club is to be abolished:

  • The president must obtain the Abolishment of Club form from the respective SRC or SSH
  • Club must hand in financial report as per time of abolishment and settle all the outstanding loans with the SRC Treasurer

Inactive clubs shall be suspended after sufficient warnings given and shall not be allowed to be revived for a period of one year. Clubs can appeal with valid reason.

Registration, Renewal, and Termination Process

Here are some important guidelines:

  1. Completion by Main Committee: This form should be filled out by the secretary, who is usually responsible for such administrative tasks.
  2. Submission of Relevant Documents: Ensure that all necessary documents are attached when submitting the form. This will help expedite the process.
  3. Consultation with Club/Society Advisor: Prior to completing the form, it’s essential to discuss your intentions with your club or society advisor. Their guidance can be valuable in ensuring compliance and smooth processing.
