Onboarding

We are excited to see our students continuing the course in the Clinical Campus for TnL and clinical attachment.

MBBS

Local track students will continue their Phase 2 studies in IMU Clinical Campuses for another 2.5 years (5 semesters) after completing the Phase 1 MBBS Medical Sciences course in IMU Bukit Jalil.

  • The Semesters 6 to 9 students will be in IMU Clinical Campus Seremban. Upon successfully clearing the Semester 9 EOS examination, they will continue Semester 10 in one of our Clinical Campuses in Johor, either at the Batu Pahat Campus or Kluang Campus.
  • Semester 10 students will report to the Johor Campus and the SOM will randomly assign the grouping by campus.
  • Refer to our SRC handbook Survival Guidelines Clinical Sciences and learn more about the campus, clinical posting, and training in the Healthcare Centre (Klinik Kesihatan).

Dentistry, Nutrition & Dietetics, and Nursing

Dentistry

The Seremban Campus offers the human disease module (Internal Medicine & Surgery) and therefore, students will be having classes here following the timetable prepared by the ASD SB Campus.

Bachelor of Science (Hons) in Dietetics with Nutrition
  • Semester 7 students would come in for about 12 weeks throughout the 20 weeks of the semester.
  • Semester 8 students would continue coming to the Seremban Campus for clinical attachment for 8 weeks by rotations for 2 groups (16 weeks). 
Nursing

All students will be experiencing clinical posting in 2 shifts starting from 7:00am to 2:00pm and, from 2:00pm to 9:00pm. However the final year students’ clinical posting shifts at night from 9:00pm to 7:00am.

  • Semester 1 students will be visiting HTJS for a day field visit.
  • Semester 2 to Semester 8 students will be having clinical posting between 6 to 8 weeks.

Onboarding Activities

We are excited to welcome all of you in person to the Clinical Campus. We believe that meeting in person will make a significant impact and provide valuable opportunities to engage with esteemed guest speakers and the IMU community. However, depending on the circumstances, some sessions may still be held in a hybrid or virtual format as per the availability of the external speaker.

Clinical Sciences MBBS: Semester 6 Orientation Week

Traditionally, the Orientation Programme is held in person at the John Bosco Lecture Theatre Hall in the IMU Clinical Campus Seremban. The school will set the schedule for Orientation Week. Students can view the final itinerary on the E-Learning Portal no later than one week before the Orientation Week. The programme consists of three days of briefings, followed by the White Coat Ceremony on the fourth day. Attendance is mandatory for all students and will be monitored by the school.

The aim of the Orientation Week:
  • To welcome our Semester 6 juniors
  • To help you acclimatise to our Seremban Campus
  • To introduce you to our Faculty, Corporate Staff and available support services
  • To explain the role of teaching hospitals
  • To brief on various Standard Operational Procedures (SOPs) that are essential for you to understand and follow
We invite speakers from internal and external communities
  • Internal speakers will include representatives from the School of Medicine (SOM), Academic and Corporate Support Departments, the Student Representative Council, the Student Peer Support Group, as well as Senior Students and Alumni.
  • External speakers will feature MOH representatives from Teaching Hospitals (including the Director and Matron) and an introduction to the Growing Space counselling support group in the Clinical Campus.
Briefing Topics
  • Curriculum and Preparation for Clinical Practice
    The briefing aims to introduce you to the curriculum and preparation for clinical practice, including campus Standard Operating Procedures (SOPs), learning and personal attributes, and clinical training. It will cover an overview of the Curriculum on Outcomes and Competencies Clinical Training, Teaching and Learning Activities, Academic Assessment, and Work Readiness.
    Additionally, the school emphasises key areas such as the Mentor-Mentee System, the Community & Family Case Study, and Case Clerking-Summary & Case Reports. To further empower you, representatives from the HTJS Director Office and the Matron Office at our MOH Teaching Hospital will discuss the Clinical Training System, their role as a teaching hospital, patient safety concerns, and the healthcare system.
  • Professionalism
    There will be a Whistleblowing Workshop conducted by the Domain 5 Coordinator of Clinical Science in collaboration with the SRC. This workshop will cover topics such as cyberbullying, body shaming, and social media responsibility.
  • Enhancement of Personal and Professional Development Programme (EPPD)
    SRC Teambuilding Programme in collaboration with the SOM’s Enhancement of Personal and Professional Development Programme (EPPD) will run activities to enhance teamwork, communication, sociocultural competence and leadership aimed to developing your professional identity.
  • Student Engagement Activities
    The briefing will focus on student engagement activities with peers and the community. The Senior or Alumni guest speaker will share their learning tips and coping techniques based on their experiences in clinical studies and hospital postings. The IMU Cares Office and SRC representative will brief on Community Engagement ‘Reaching Out to Community and Making an Impact as a Student’ emphasising the importance of student involvement and the associated reward systems.
  • Student Support
    The SRC will brief on the Clinical Campus overview, the Buddy System, and the Tag-along Activity organized by the Students Support Group and encompass the Survival Guide for Hospital posting (sequel from Clinical Sciences Survival Guide for Sem5), the International Student Sharing-Coping-Strategies, ECA Drives and Students Facilities SOP.
    Student Services will brief on Student Support Services, FMA will be briefing on Safety and Fire Evacuation Procedures, and Student Counselling Services will brief and support in adjusting to a new environment.

White Coat Ceremony

The ceremony signifies the beginning of medical students’ journey to the clinical years. According to the AMA Journal of Ethics article. “Medical school must give students the scientific and clinical tools to become doctors. Just as importantly, the white coat symbolizes the other critical part of students’ medical education, a standard of professionalism and caring and emblem of the trust they must earn from patients.”

The White Coat Ceremony is a significant tradition in IMU Clinical Campus as we welcome the new Semester 6 students who have completed their Medical Sciences training in IMU Bukit Jalil. The Donning of the White Coat is a symbol of the new professional responsibilities that a student must take on in assuming their clinical training. The Declaration of Medical Oath is adapted from an oath by the Imperial College School of Medicine graduating year 2001. Sritharan K, Russell G, Fritz Z, Wong D et al. Medical oaths and declarations. BMJ 2001. 22- 29;323(7327):1440-1.

The presence of the key people from IMU Senior Management, SOM management, IMU staff, MMA Negeri Sembilan Branch, and MOH partners witnessing the solemn pledge declaration highlights the importance of this ceremony and provides an impetus that is needed at this stage of their training. The students are advised to use IMU short-sleeved laboratory coats for the White Coat Ceremony donning session.

Student Email

All official announcements will be disseminated through IMU emails and therefore do make a routine to check your email regularly. You will be using your IMU student email for internal communications, thus, please set the email undersigned with full name, cohort program, contact number, and campuses.

E-Counter Services Deck

As we are now embarking on services digitally. Hence, students will be availing of the services through QRCode scanning and the Microsoft Form only allows students to log in using IMU student outlook email. We would support the request through virtual or walk-ins to meet the standard expectations and students must submit a response so that we can record the completion status of the services.

If You Are Sick

  • Inform your mentor, posting coordinator (lecturer), posting leader (student), and/or roommates and get immediate assistance from them.
  • If you are facing any serious health condition, visit the NEAREST hospital immediately.
  • Should you be in the Kuala Pilah/Port Dickson/Kluang/Batu Pahat Campus, you are advised to visit the local hospitals nearest to the campus. Avoid taking risks by driving out far from the campus.
  • Sick Bay is a temporary rest station, approximately 2 hours per case. There are no medical supplies, treatments, or observation available in the sick bay. Students are advised to visit a doctor and take a rest at home should the situation get worse. Please refer to the attached guidelines.
  • If you are hospitalised/wellness & well-being matters, please inform the Mentor/Coordinator and SSH CC immediately. You may do so by getting the cohort or assistant rep assistance to email the Mentor/Coordinator and Student Service Hub Clinical Campus at [email protected].
  • For any insurance claim (MSIG/Tokyo Marine) you are required to complete the insurance claim form. Please liaise with SSH personnel or email directly to [email protected] for inquiries.
  • If you witness any mishap such as an accident or suicide attempt involving IMU students, please call 999 and inform the Mentor/Coordinator and SSH immediately.

Accommodation Security and Safety

  • Survey and site visit to check the surrounding, neighbourhood, security systems, and access point.
  • Advisable to avoid isolated areas. The best would be guarded, gated, or closed to IMU friends.
  • Report damages of the house to the house owner, as soon as possible.
  • Advisable not to rent alone, stay home alone, and have at least one partner.
  • Advisable buying new padlocks if possible and permitted by the house owner.
  • Advisable buying safety tools like Personal Alarm/Siren.
  • If you are the victim of circumstance, please seek SSH/SRC advice.
  • Red zones alert in Negeri Sembilan includes Seremban, Nilai, Port Dickson (info by IPK).
  • Renting tips on accommodation:
    • Must avoid verbal agreement. Check your tenancy agreement and evaluate it before signing. Seek clarification if any obscure clause is found in the agreement before signing it. (Sample).
    • Ensure impartial agreement and keep a copy of all pertinent to the terms and conditions. Once signed, you must follow the rules.
    • Advisable, not through an agent. There are a few incidents that happened after deposit payment and did not get the unit they wished for.
    • Be responsible by taking care of the house, paying rent/utilities on time, and ready for rent increases.
Accommodation Advisory
  • Students are encouraged to find your accommodation before the end of the semester to ease your transition to SB/BP/KLG campus. Join our IMU CC Accommodation Hub Facebook Page, to help yourself in sourcing accommodation within the vicinity of the campus.
  • Students are advised to liaise directly with the property owners or operators regarding off-campus accommodation. It is deemed a private arrangement between the student and the property owner. The university is under no obligation to either party and cannot be held liable in any way to any party.
  • The University makes no implied or explicit guarantees or warranties regarding to the availability or suitability of the accommodation listed. We advise students to gather the correct information and clarify details before accept and pay for your preferred room/house.

Car Registration

We seek cooperation from everyone to adhere to the IMU Rules and Regulations as follows:

  • All vehicles must register with SSH CC for security and emergency reasons.
  • A student is ONLY entitled to one car park sticker.
  • Renewal every 2 years. Follow collection schedule – announced by SSH CC.
  • Please refer to ‘GENERAL GUIDELINES’ which its available at the Ground Floor notice board and Guard House. Whoever breaks the rules, the parking sticker will be confiscated.
  • Using valid IMU car park stickers. If the registered vehicle is temporarily under repair or change of vehicle, please contact SSH for advice.
  • Parking location
    • Before IMU entrance gate (downhill) and IMU compound (near to Cafeteria). The alternative option will be at HTJS hospital public parking at your responsibility.
    • Do not simply park at Dean’s and VIP parking/STAFF parking. You may park at STAFF parking after office hours 6:00 pm – 7:00 am.
Parking Offences
  • Speeding and driving dangerously.
  • Double parking and blocking other vehicles/traffic flow (no contact details displayed).
  • Knocked/hit other vehicles parked inside the IMU compound.
  • Park at the staff parking area.
  • Parking without IMU car park stickers.
  • Using IMU students’ car park stickers on unregistered vehicles (with SSH) inside the IMU compound.
  • Fine will be imposed on any above offences.

Student Support

The office of Student Services Clinical Campus (SSH CC) plays a role in providing arrays of services devoted to serving the Clinical Campus students in Seremban, Batu Pahat, and Kluang Campuses. We provide continual support and standard services of the department to navigate student experience and onboarding in the Clinical Campus environment. We coordinate and supervise services and activities that are concerned with non-academic experiences to attain total student development and enhance extracurricular activities and services.

We are to support:

Initiatives & Inventiveness

The Initiative & Inventiveness project is to support the juniors and connect them with their seniors or other students. We work closely with the student committee to help with some plans and activities to be rolled out for the juniors or to be involved.

Cohort Representative & International Student WhatsApp Chat Group

This channel is under Student Services Seremban monitoring and it is managed by the SRC. It is related to welfare or support services of non-academic matters without intrinsic intention but merely to seek clarification to allow students to channel their concerns with peers/update each other/for feedback/ad-hoc support/follow up. The invitation as members to Cohort Representatives and International Students will be sent to active students in the Clinical Campus by SRC. Any official matters that may require urgent attention or immediate action as instructed by IMU will be directed to this channel.

IMU ECA after-class activities for the IMU community or general public

All student activities organized by SRC/Clubs & Societies in collaboration with the IMU Department and School are to be submitted through the BPM form (application systems & database). Students should abide by all the guidelines as mentioned in the ECA Handbook (sharepoint.com) and the IMUCC ECA KIT below is for Clinical Campus students. Therefore, please be informed that all the processes and procedures belong to each department and are subject to their approval.

ECA Kit Handbook

This kit is the sequel to ECA Handbook. The purpose of this kit is to provide detailed information on club/society management, steps to conduct an event/activities, and participating in out-campus extra-curricular activities. Some of this software are ideal for event organizer in collecting participant data such as RSVP, registration, feedback survey, and others.

Safety Statement & Disclaimer

Students are required to observe all safety practices in IMU University and seek SSH advice prior to conducting any event or participating in ECA activities. All student activity preparations and post-events must be supervised by the advisor/event organizer/club president.

General Welfare Services

SSHCC is the liaison office to support and assist students with Insurance matters, Financial support and Scholarship concerns, Welfare and Customer Services, Student Engagement, Portal and Digitalization Support, the Advance and Alumni Department, and Visa Office. The Student Services Hub in Bukit Jalil is mainly in charge and SSHCC provides consultation support, documentation endorsement, submission, and inquiries or connects you to the main campus whenever required.

International Students

The initiative implies based on bonding activities. The approaches are through student’s involvement and contribution to the communities. There are a few activities for the IS such as Senior Sharing, Survival Guide for Clinical Years, the Housemanship and Alumni Buddy, and students’ projects via SRC/Clubs & Societies and SSH.

Bahasa Melayu (BM) Lesson

The programme aims to improve the study experience and the preparedness to smoothen the onboarding of new students on the Clinical Campus. Why BM and IS? As they start their clinical years on the Clinical Campus, they will go through clinical attachments and practicals at various public general hospitals and healthcare. The BM is the main language of communication, and they will be dealing a lot with staff and patients. This would be one of their main challenges as the demand to communicate in the BM language is crucial. What will be the impact? They may be left behind, not able to cope and communicate breakdown.

Target group and the objectives:

  • Clinical Sciences (Sem6-10): Peer support for better engagement of students and to elevate students’ experience in Clinical Campus.
  • Medical Sciences (Sem1-4): exposure to local track medical students who will be undergoing clinical training at the Clinical Campus.
BM Lesson by Peers
  • SRC has started organizing the BM online class for MBBS Phase 2 IS in May 2021 and it is an ongoing project.
  • The SRC has rolled out the lesson for Phase 1, Semester 4, and 5 students, starts the beginning of the year 2022.
  • In-house tutor:
    • Our local active senior students to conduct the session for the IS. The programme and session are based on IS demand and it will be at the student’s cost commitment. The minimal charges will be imposed based on session and per hour (subject to approval by SSH and SRC).
    • Why local medical students? We trust that they could provide valid and essential information as they have gone through the learning process. Also, they will be able to answer IS inquiries based on experiences such as clerking/CFCS sessions/community projects.

  • General guidelines for Tutor to conduct BM Lesson (standard scheme kit or under SRC reps monitoring).
  • Once the registration and selection process is completed we can have a meeting with the tutors and tutees to explain the basic rules and regulations of the classes as well as points mentioned above.
  • This is best left to the tutors and tutees to decide. Instruction will be given to the tutors that focus on the session should be teaching tutees to clerks in Bahasa and medical terms.
  • At the same time, tutors should send the lesson plan weekly to SRC as part of monitoring/keeping track of the classes that are mainly focused on learning BM. Tutors should also conduct some form of examination regularly to check tutees’ progress and identify their weak areas.
Personal Tutor (Non-IMU)
  • Available Options such as the Bahasa Melayu class in YMCA Kuala Lumpur and the Tuition Centre in Seremban.
  • A student may need to go through the whole BM module literature. Therefore, we encourage the student to negotiate with the tutor whether possible to only cover a special module related to medical/anatomy and to be conducted online. This may cause extra work and the price wise would be pricy.
Bahasa Melayu Clinic by IMU Centre for Bioethics and Humanities, Bukit Jalil
  • This clinic is designed to enhance some basic Malay Terms, translation, and daily conversations. The team provides consultation and may assist on a one-to-one or small-group basis.

Visa and Passport

The IMU Student Visa Office Bukit Jalil is in charge of processing the renewal of visa/student pass/passport as they will liaise directly with EMGS. For any request related to this, Clinical Campus students must go through the IMU Student Visa Office prior to submitting the passport to or collecting the passport from the Student Services Hub Clinical Campus. Students are to email IMU Student Visa Office [email protected] for detailed arrangements or inquiries pertaining to passport submission and collection, renewal, student pass, visa, and fees related.

Please take note of the below pertinent matters:

  • The passport/document will be transit to the SSH CC office. The delivery or pick up from/to the Visa Office will be through the FMA based on the scheduled trip or transportation booking which is subject to urgency and transport-driver availability.
  • All documents submitted or to be collected from SSH CC must be recorded in the Document Submission or Collection form as proof of acquisitions.
  • For new visa applications or renewals related, the processing period usually takes 3 months.
  • Consult the IMU Student Visa office before proceeding to pay the visa renewal payment through the IMU account and read the IMU Portal for Payment Guidelines.
  • The cancelation processing period usually takes about 2 weeks.
  • Passport cancelation is to be made right after the final year semester 10 result is out/announced.
  • Students may request the verification support letter from IMU Student Visa Office BJ after submitting the passport. The supporting document is for students to keep during the EMGS processing period.
  • Traveling back to Malaysia. Upon your travel back to Malaysia kindly provide the documents listed in the bulletin for the visa and Ministry of Health, MOH clearance at KLIA.

The locker service is available in IMU Seremban Campus, and it is for active students who report to Seremban Campus.

All official documents or items for submission / collection / transit through SSHCC are to be recorded for security purposes.

General Information Deck

It is a One-Stop-Information on General Welfare and Support Services available in Seremban (Negeri Sembilan), Batu Pahat, and Kluang (Johore). Students will be able to get the pertinent information regarding services and support from the other service providers nearby SB/BP/KLG. Preparation for ‘Leaving’ the IMU MBBS Programme

Portfolio distribution by ASD CC

After the results announcement, new graduates will collect their portfolios from ASD. For more information or inquiries about portfolio distribution, clearance forms, transcript certificates, and MBBS scrolls, please contact ASD CC.

Last Day Programme

IMU University Clinical Campus will host two activities as part of the Last Day Programme for Semester 10 MBBS students. The invitations and itinerary will be sent via email and calendar invitations before the event date.

The activities are:

Declaration by IMU MBBS Graduands (OATH Taking Ceremony)

This event will take place after the results of the Final Professional Examination – Part 2 (Semester 10) are announced. It is a tradition in IMU University Clinical Campus to hold the ceremony to celebrate Semester 10 students who pass the Final Professional Examination – Part 2. The Housemanship Briefing for Future Houseman

The purpose of this briefing is to provide our new graduates, both local and international, with a clear understanding of the training program and compulsory service process, whether they will be serving domestically or abroad. This session aims to prepare them for their future work environments. During the briefing, students will receive information on the requirements and application process for Housemanship in Malaysia, including guidance on registration with MMC, SPA, and MOH for both Malaysian and International graduates. Additionally, IMU Financial Aid Unit will discuss scholarship matters, and Advance & Alumni Office will cover alumni activities.

STEPS 1: MMC Provisional Registration

Please visit the Malaysia Medical Council (MMC) official website and read through the Provisional Registration Guidelines & Applications Form. Additionally, refer to the MeRITS system manual guide available on the MeRITS for instructions on submitting your online application. Should you require further advice and clarification, please contact the MMC Provisional Unit and the contact details are available on the website.

MBBS Local graduates

If you have not yet received your degree scroll but already received the full transcript, you may apply for Provisional Registration by submitting the MeRITS application. Please take note that both categories ‘Date of Passed Exam’ and ‘Date of Awarded Qualification’ use the date stated on the Transcript. Entering an incorrect date requires an amendment, which incurs a fee of RM50.

MBBS Overseas graduates/PMS

The degree scrolls and transcript are to be in English or Bahasa Melayu. Please read through the Primary Source Verification (PSV) guidelines provided on the MMC website, PSV FAQ.

As for the translation certificate, please visit the Institut Terjemahan & Buku Malaysia (ITBM) official website. You may fill in the Translation e-form or you may call the office for the quotation price. After you making the payment, ITBM will process your application promptly. An e-copy of the certificate will be provided, and the hard copy will be sent to you via mail.

STEPS 2: Suruhanjaya Perkhidmatan Awam (SPA)

Please visit the SPA9 portal and read the information provided on the application guidelines. Create an SPA9 account as part of the process. Shortlisted candidates will have their names submitted to the Ministry of Health (MOH) for further consideration.

STEPS 3: Ministry of Health (MOH)

Kindly refer to the Ministry of Health (MOH) portal for detailed information and guidelines regarding e-Housemen. Shortlisted candidates will receive an email notification to register for e-Housemen before reporting to MOH (KKM) for the Program Transformasi Minda (PTM) course/Induction.

Sijil Pelajaran Malaysia – SPM

  1. Visit the official website of the Lembaga Peperiksaan (Examination Board), Kementerian Pendidikan Malaysia to check the latest announcements on SPM registration, online results, certificate distribution, etc.
  2. If you need the certificate urgently, you may apply for an advance certificate of ‘Terjemahan Keputusan Peperiksaan @ English Translation’ for the use of the MeRITS application in MMC Provisional Registration (subject to change by MMC).
  3. The requirement of employment in the public sector is that the candidate must possess an SPM certificate with PASS Bahasa Melayu subject.
  4. It is the eligibility requirement to register for Housemanship with MMC, Suruhanjaya Perkhidmatan Awam (SPA), and Ministry of Health (MOH/KKM) and the announcement is subject to change by MMC/SPA/MOH.
  5. SPM result slips or equivalent i.e. Higher School Certificate/A Level/O Level/etc. are not accepted.
  6. First-timers who will be registering for SPM are to take note of the below requirement by the Examination Board @ Lembaga Peperiksaan Malaysia/Kementerian Pendidikan Malaysia (subject to change).
  7. To qualify for the SPM CERTIFICATE, the candidate must register all SPM core subjects. On top of this, please take note that the candidate must PASS the Bahasa Melayu and Sejarah subjects. We also advise you to pass the English subject as well in case this would be the new requirement by MMC in the future. The new requirement will be announced through the MMC portal/press statement/newspaper/official circular (if any).
  8. The requirements are:
    • 6 SPM core subjects are Bahasa Melayu, Sejarah, Bahasa Inggeris, Pendidikan Islam/Moral, Mathematics, and Science.
    • The new ruling started since year 2017:
      • COMPULSORY to pass BAHASA MELAYU (BM) and SEJARAH.
      • Pass grade: A-E
      • Credit is not necessary (subject to change @ until further notice by SPA)
      • Fail grade: F and TH (Tidak Hadir/Absent)
