From finalising your completion requirements to confirming your convocation attendance, each step plays a crucial role in making your transition from student to graduate as seamless as possible.

This guide outlines everything you need to know, including the completion checklist, convocation invitation process, and ceremony details, so you can celebrate this significant achievement with confidence.

Completion Checklist

NOTE: The completion form link attached in this section is not the Convocation Ceremony RSVP Form. Please ensure you read all sections before reserving your seat for the convocation ceremony.

1. Submit the Completion Form for Refund of Deposit

Following the publication of your final exam results, the Examination Unit will present them, along with your completion status, to the Senate for endorsement to confirm your eligibility for graduation.

If you are deemed eligible, you will receive an invitation from the IMU Convocation Secretariat to attend the Convocation Ceremony. Additionally, the Academic Services Department will email you with a request to submit the Completion Form.

Please take note of the following instructions:

  1. Download the soft copy of the Completion Form.
  2. Submit the completed soft copy to OSCHelpdesk@imu.edu.my.
  3. The Completion Form is required to process your caution deposit refund, which will be handled by the Finance Department only after the convocation day. Failure to submit the form may result in delays.
  4. Please note that the refund process will take approximately 6 to 8 weeks after the submission deadline or the convocation ceremony.

2. Check Name and Personal Details

Before conferral, it is essential to ensure that your name and personal details on record are accurate. You may verify your information by logging into the MyIMU App and navigating to the Profile tab.

Please take note of the following:

  • Name: Your formal name will appear on your graduation certificate and other official documents. If you need to make any changes, such as correcting your name or adjusting the name order, you must submit your request at least one month before the convocation day. If you change your name after graduation, you may request a replacement graduation certificate. For more details, please refer here.
  • Permanent Address: If you are not attending the convocation ceremony and wish to receive your graduation certificate and other documents by post, please ensure your request is clearly communicated by emailing convo@imu.edu.my.
  • Personal Email Address: Your personal email will be used for Alumni registration, unlocking various benefits and privileges. You can update your email by completing the Alumni Registration Form on Convocation Day. Be sure to visit the Alumni Counter to register.

3. Settle Any Outstanding Fees, Debts, or Fines

If you have any outstanding fees, debts, or fines, you will receive a notification from the Finance Department. Kindly ensure that all payments are settled promptly, as clearance is required for your degree conferral and participation in the Convocation Ceremony.

4. Invitation for the Convocation Ceremony and Collection of Documents

Foundation, Partner School, and Credit Transfer

Students will not be invited to attend the convocation ceremony. The Official Degree Certificate and Official Transcripts will be issued upon completion of your course, and you will be notified via the student email, once they are ready for collection. If you wish to arrange for courier services or authorise someone to collect on your behalf, please refer to the guidelines available here.

 

Bachelor’s Degree

Students do not need to take any action for degree conferral. It will be processed automatically following Senate endorsement. While waiting for the Senate endorsement, an invitation to attend the convocation ceremony will be sent to the potential Graduands via the student email. The Official Degree Certificate and Official Transcripts will be issued on Convocation Day. If you are unable to attend the ceremony and wish to arrange for courier services or authorise someone to collect on your behalf, please refer to the guidelines available here.

 

Master’s, PhD, and Doctoral

Students must ensure all completion requirements are met, including coursework, compulsory examinations, dissertation or thesis submission, defence, and Senate endorsement. While waiting for the Senate endorsement, an invitation to attend the convocation ceremony will be sent to the potential Graduands via the student email. If your completion is approved close to Convocation Day and you do not receive an invitation, please contact convo@imu.edu.my.

The Official Degree Certificate and Official Transcripts will be issued on Convocation Day. If you are unable to attend the ceremony and wish to arrange for courier services or authorise someone to collect on your behalf, please refer to the guidelines available here.

5. Technical and Student ID Card Access

Technical Access

Please be informed of the technical access grace period for students prior to disablement. The grace period is provided to ensure that students have sufficient time to access, review, and download any necessary information before leaving the University.

This access covers the IMU student email account, Microsoft licensing, MyIMU app, E-Learn, Student Portal, SLIM, Wi-Fi services, printing services, other IMU software, and the use of IT facilities.

Student ID Card Access

As your candidature with IMU University is no longer active, your access to IMU buildings will also be limited. The Student ID card currently in your possession is not required to be returned and may be kept as a memento.

However, you are responsible for safeguarding it and must not use it for any fraudulent activities, particularly impersonating your status within the University.

With your building access now restricted, you are required to register as a Visitor with the Security Guard at any IMU premises and must comply with all Visitor rules and regulations.

Convocation Programme and Schedule

The upcoming Convocation Ceremony is scheduled to take place on Saturday, 4 July 2026 and tentatively located at the distinguished Mei Ling Young Auditorium, IMU University, Bukit Jalil Main Campus.

Important Venue Update

Please be advised that construction work is currently ongoing at the Bukit Jalil Campus. The University is actively monitoring the readiness and suitability of the Mei Ling Young Auditorium to ensure it provides a safe and distinguished environment for your graduation.

  • Should the venue not receive the necessary certificate of clearance or be deemed unready as the date approaches, the Management reserves the right to change the location.
  • In the event of a venue change, an official announcement will be sent to all Graduands, and this page will be updated immediately.
  • Please ensure you check this information frequently for the latest updates regarding the ceremony location.

Ceremony Schedule & Logistics

  • The detailed proceedings will be confirmed two to four weeks before Convocation Day. While the general event flow is standard, the specific order of degree conferment may be subject to adjustment.
  • If you are making travel arrangements, please rest assured that the Convocation will take place on the scheduled date and will span a single day.
  • Graduands are responsible for arriving on time for registration and robing. Timely arrival ensures a smooth experience for you and your fellow graduates.

1. Terms and Conditions of Entry

Convocation ceremonies are formal events that mark a significant milestone in our students’ lives. Each Graduand deserves the opportunity to reflect on their accomplishments and celebrate this special moment.

As you prepare for your graduation, we kindly ask that you respect the rights of every Graduand to enjoy their ceremony alongside family and friends for its full duration.

Our Terms and Conditions outline the expectations for both Graduands and Guests during the convocation ceremony. This includes rules, protocols, and guidelines to ensure a smooth and memorable experience for all attendees.

2. Rehearsal

All Graduands must physically attend the Convocation Rehearsal scheduled on 3 July 2026. Attendance is compulsory. Failure to attend and familiarise yourself with the proceedings may disrupt both your experience and that of others. If you are unable to attend the rehearsal, you must submit an official email to convo@imu.edu.my, along with supporting documentation for your absence.

The rehearsal schedule and venue will be updated upon confirmation from the IMU Management Team.

During the rehearsal, you will be briefed on:

  • Programme Itinerary and Flow of Events
  • Procession, Seating Area and Your Moment on Stage
  • Robe and Dress Code
  • Car Park Arrangements
  • Additional Seating and Meal Vouchers Sale (if there is any)
  • Alumni Registration

Academic Regalia (Convocation Robe)

Graduands must wear the official academic regalia. Those who fail to RSVP will not be permitted to collect their regalia.

Please be further informed that any delays after 7 July 2026, without the appropriate rental arrangement, will incur a penalty of RM100 for every 24-hour period.

3. Other Important Information

  • Graduands are not permitted to collect the academic regalia on Convocation Day to ensure a smooth process during the event.
  • Graduands must ensure that the academic regalia you receive is in good condition and that the correct regalia is provided, as shown in the illustration below.
  • Academic regalia must be collected in person by the Graduand. If a representative is collecting on behalf of the graduand, an authorisation letter must be provided.
  • Penalties will be imposed for any late returns, damages, or loss of the regalia.
  • Graduands are not permitted to alter or modify any part of the regalia loaned to them. Any alterations or modifications will result in denial of entry to the Auditorium and a penalty upon returning the regalia.
  • IMU University reserves the right to reject any regalia deemed too tight, short, or inappropriate for the ceremony.
  • Attire checks will be conducted after registration.
  • Graduands who do not adhere to the approved dress code will not be allowed to enter the Convocation Ceremony.
  • Graduands will be held responsible for any loss or damage to the regalia. In the event of lost or damaged items, a penalty will be imposed through the deduction of your caution deposit.

5. Programme and Hood Color

Dress Code

The Convocation Ceremony is a formal and prestigious event, and all Graduands are required to adhere to a strict dress code to maintain the dignity and decorum of the occasion.

Failure to follow the dress code not only disrupts the ceremony but can also reflect poorly on the Graduand’s professionalism and the reputation of the institution. Maintaining a high standard of dress is essential to upholding the prestigious nature of the convocation event.

Below is a comprehensive guide on the Convocation dress code, including the dos and don’ts. Graduands who do not adhere to the approved dress code, including improper attire or regalia, will not be allowed to enter the Auditorium and participate in the ceremony.

1. The Do’s

Wear Approved Academic Regalia
  • Graduands must wear the official IMU University-approved academic regalia. The academic regalia must be in good condition, clean, and properly fitted.
  • Ensure that you have received the correct regalia as per the illustration and guidelines provided.
Dress Professionally
  • Beneath the academic regalia, you must wear appropriate formal attire:
  • Men: A long-sleeved shirt (preferably white), tie, formal trousers, and closed shoes.
  • Women: A formal dress or blouse with a skirt/trousers, or an equivalent professional outfit. It should be knee-length or longer, and modest in nature. Closed-toe shoes are recommended.
  • Keep accessories minimal and discreet. Avoid wearing excessive jewellery.
Arrive On Time for Registration and Robing
  • Be sure to arrive early for registration and gowning and get ready for the ceremony.
Maintain a Neat and Tidy Appearance
  • Your overall appearance should be tidy, clean, and respectful of the formality of the event. Ensure that your hair is well-groomed and that your attire is free of wrinkles.

2. The Don’ts

Do Not Alter or Modify Your Regalia
  • Any alteration or modification to the academic regalia is strictly prohibited. This includes adjusting the length, adding accessories, or making any changes to the design.
  • Graduands found to have altered their regalia will not be allowed to enter the Auditorium and will face a penalty upon returning the regalia.
Do Not Wear Casual or Inappropriate Clothing
  • Casual attire such as jeans, t-shirts, sneakers, flip-flops, or any form of inappropriate clothing will not be allowed. This includes any visible logos or slogans on your clothes.
  • Avoid wearing clothing that is too tight, short, or revealing. The ceremony is a formal event, and such attire is deemed disrespectful to the occasion.
  • Any kind of sash or additional adornment/clothing on top of the academic regalia is strictly prohibited.
Do Not Wear Excessive Accessories
  • Avoid wearing large or flashy jewellery, hats, or any accessories that could detract from the formal nature of the ceremony.

Information for Guests

About children aged 12 years and under

To ensure the ceremony runs smoothly, children aged 12 years and under are not permitted to enter the Auditorium due to the length and formal nature of the proceedings.

 

2 Complimentary Guests for Each Graduand

Each Graduand is entitled to two complimentary guest seats

  • Guests’ details have already been captured through the RSVP Form
  • Upon arrival, these Guests may proceed to the Check-In counter (exact venue to be confirmed), according to the Convocation Schedule and Session
  • Upon check-in, Guests will receive their wristbands and meal vouchers, which will grant them access to both the Auditorium and the refreshments area

 

Mobility Assistance for Your Guests

For Guests with accessibility requirements, we highly recommend bringing your own wheelchair or crutches. Should Guests require additional support, please write to convo@imu.edu.my to discuss their needs.

 

Dress Code for Guests

All Guests must dress professionally, and maintain a neat and tidy appearance throughout the ceremony.

Transcript Release Requirements

To ensure the smooth release of your official certificates and transcripts, please follow these essential steps:

 

1. Visa Cancellation for International Students

If you are an international Graduand, please contact the VISA office at visa@imu.edu.my to initiate the cancellation of your student visa. This step is mandatory to comply with immigration regulations.

 

2. Graduates Reference Hub for Employment and Training (GREaT) Survey Completion

All Graduands, both local and international, are required to complete the Tracer Study Survey before the Convocation Ceremony. Please await the official email from Academic Services, which will include the survey activation details and start date, before you can begin answering the survey.

For your information, the GREaT Survey, conducted annually by the Ministry of Education (MOE), is a significant initiative aimed at collecting valuable feedback from graduates. It gathers insights on your academic experience, feedback on facilities and services, and current employment status, assisting in the continual enhancement of our programs.

To participate in the survey on the GREaT platform, please follow the instructions provided below:

  1. Wait for the official email from the Academic Services on the survey start date
  2. Click the GREaT website link via the email
  3. You may change the language from Bahasa Melayu to English. Click on the language box (top right) and key in the required information
  4. Fill in the IC / Passport Number, Institution and Name of Institution – IMU University
  5. Click Submit
  6. Fill in the GREaT online form accordingly

Photos and Floral Arrangements

Photos

Our official photographers will be strategically positioned to capture high-quality images of each Graduand as you receive their scroll on stage. To maintain the solemnity and smooth flow of the event, we kindly ask that personal photography and audio-visual recording near the stage area be avoided, allowing our designated professionals to handle this task.

As part of your convocation package, each Graduand will receive:

  • One 8” x 10” photograph capturing your full-stage moment
  • One 8” x 10” photograph of your half-stage pose
  • One 8” x 12” photograph alongside your graduating batch
  • One certificate folder

These photographs are included in the overall convocation fee, so there will be no additional cost for these memorable keepsakes.

Your stage photos will be ready for collection on 6 July 2026 at 10:00 am to 2:00 pm (the exact location for collection will be confirmed).

 

Studio Photography

The official photographers will set up a professional photo studio (the exact venue to be confirmed). Graduands are warmly invited to visit the studio and capture this special milestone. Photography packages will be available for purchase after the rehearsal on 3 July 2026.

Car Park and Refreshments

1. Car Park

Please be advised that the designated parking areas for the rehearsal and event will be confirmed once the final convocation venue is finalised.

2. Refreshments

Refreshments will be provided for all Graduands and Complimentary Guests.

Graduands and Complimentary Guests will receive meal vouchers, which must be presented to the staff on duty for entry into the refreshments area. Please ensure that the meal vouchers are kept safely and shown upon request.

With due courtesy, we kindly ask all Graduands and Guests to be mindful of their time in the refreshments area, so as to allow those from the following session to enter comfortably. For further details, please refer to the Ceremony Schedule.

To those receive an email invitation to attend the next available convocation ceremony. Below are your attendance options:

  • Select Attending in the RSVP form.
  • After completing the RSVP, you will receive an email confirmation of your attendance.
  • The ceremony date is confirmed as per the invitation. Please take note that the programme itinerary and session are usually confirmed near the convocation day.
  • Most students are not required to pay the graduation fee, except those who did not pay the caution deposit upon admissions at IMU University.

 

Not Attending
  • You must respond as Not Attending in the RSVP form.
  • After completing the form, you will receive an email confirmation of not attending the ceremony.
  • Please write to convo@imu.edu.my for the preferred collection or postal arrangement of your graduation certificates.

 

Postpone Your Ceremony to the Next Round
  • We do not recommend you to select this option unless it is absolutely necessary, with valid reasons and supporting documents.
  • If you choose this option, please indicate as Not Attending in the RSVP form, and write to convo@imu.edu.my to request a postponement of the ceremony.
